Site Creation and Approval Workflow

GENERAL DESCRIPTION

This is a very powerful open source workflow that empowers site collection administrators to retain full control over the creation of new sites within their site collection. Whenever any user anywhere within a site collection creates a new site, this workflow is initiated and that site is locked until a site collection administrator explicitly approves the site for use. After the site is approved, the lock is removed. If the site is not approved, the site is deleted. Click here to view a walkthrough of each step in the workflow. I acknowledge that my workflow won't fit perfectly into every organization, however, if you would like to discuss a custom solution for your organization, or if you want professional assistance with the deployment of this workflow or others, please shoot an email out to info@rbaconsulting.com and we love to talk with you. Lastly, I have a list of like 20 different enhancements I'd like to make, so stay tuned to new releases on codeplex!

ADDITIONAL FEATURES

The workflow is built on top of Windows Workflow Foundation, making it very extensible and easy to customize to meet your company's unique business needs.

After a user has created a site, that user is presented with a form where they are required to add comments around the intended purpose for the site. This information is stored within the site approval request so that the approver can have some reasoning around why the site is needed. This also helps repel unnecessary email correspondance between the requestor and the approver.

Additionally, the system utilizes a SharePoint list to store the requested sites. This gives you the ability to easily designate who can approve new sites.

Lastly, the system sends emails out to the site collection administrators when new requests are submitted. Also, when the workflow has been completed, an email is sent the user that requested the site, informing them of the status of their request. The content of these emails are configurable within the workflow settings page in site settings.
